Academic Registry

The Academic Registry at the University of Glamorgan works closely with faculties and other corporate departments to help guide and support the work of the University.

Academic Registry has overall responsibility for:

  • The student record system and associated support systems

  • The maintenance and development of policies and procedures for academic and student regulations

  • Student complaints

  • Timetabling

  • Examinations

  • Conferment of awards

  • Graduation ceremonies

Our work also includes liaison with external funding and regulatory bodies, dealing with institutional and national quality matters and providing support for the governance and management of the University.

This website provides information about the services that Academic Registry provides for students, the processes on which we lead/provide guidance for faculties and other sections of the administration within the University.

The Academic Registry is led by the Academic Registrar, William Callaway supported by two Deputy Academic Registrars Denise Williams and Sara Moggridge. The Academic Registrar is also responsible for the Board of Governors and carries the full title of Clerk to the Governors and Academic Registrar.

The organisation chart shows how the key functions of the department report to the above three senior posts. As indicated on the attached chart, the Quality Unit, Planning and Reporting Unit and Process Change Unit are line managed by Sara Moggridge. However, the student casework side of the Quality Unit, including appeals, complaints and disciplinary aspects, are overseen by Denise Williams. Sara Moggridge takes overall responsibility for development work across the department.

Denise Williams also has a role in relation to the co-ordination of Welsh issues and Welsh-medium developments across the University and is Deputy Clerk to the Governors.

In addition to the Academic Registrar and the two Deputy Academic Registrars, the management team of the department includes:

The key functions of the various units are set out below:

Planning and Reporting Unit

The Planning and Reporting Unit is responsible for statutory reporting to external agencies, such as HESA and HEFCW. It is also responsible for management and performance information, Quercus+ operational reports and any ad-hoc information report requests throughout the University as well as supporting the student data warehouse (SID).

The Unit has a pivotal role in student number planning in predicting and setting targets around the new student intake and HEFCW credit target data to support the University’s planning and budgeting cycle. In addition, the unit is responsible for managing the franchised college targets and invoicing, in partnership with the Collaborative Office.

Student Records and Logistics Unit

The Student Records and Logistics Unit within the Academic Registry manages the maintenance of all current student records and the university’s archive. It acts as the university’s liaison with the Local Authorities and Student Loans Company (SLC) to ensure that the services provided by the SLC are efficiently and effectively supported.

The unit also uses the student record data to compile the university’s teaching timetable, schedules the examinations and manages their delivery and manages and runs the Awards Congregations.

Quality Unit

The work of the unit covers four main areas: managing the quality assurance for academic provision, including policy and regulation development, student case work such as academic appeals, fitness to practice and disciplinary offences, external examiners and management of course and module data on QuercusPlus and other corporate systems.

The Quality Unit is responsible for providing support for the management of the University’s devolved quality assurance model, including the validation and review of new and existing provision, annual monitoring and the approval of collaborative arrangements.

The Office also supports the formulation and dissemination of policy and regulatory decision making in the University and acts as the focal point for contact with the University’s collaborative partners throughout Wales and beyond. Through these arrangements it is concerned with the enhancement of practice.

Secretariat

The Secretariat provides support for the governance and management of the University through administration of the Board of Governors and the Academic Board and their respective committees. The Secretariat is also responsible for the following areas:

Process Change Unit

This Unit takes responsibility for the analysis, documentation and enhancement of academic and student administration business processes and procedures, working closely with colleagues on the IT side to ensure processes and procedures are supported by the student management systems.
